EAL Meeting Minutes 10.1.18
EAL Minutes 10.1.18: Meeting started by Kevin @306pm
- UNM Jobs: Discussion in regard to the number of jobs that display on the landing (currently 10). Amber gave examples of the current display landing, should we have more than 10 results. Not sure if 10 was something that was just a starting point or if the display should have a larger number of jobs to display at once. Decided that we could increase to see if this change would be beneficial.
- UNM Jobs Manager Field. Follow up on TMS manager field that was discussed at the last meeting, changing field in inbound feed, changing away from position reports and job supervisor. This data is used by some folks for reporting data so discussion between members on this data. Suggested changes will have no effect on Banner, only will be changed in UNMJobs. Explained by Kevin the reason to address this field, as it causes confusion or is left blank in the process of hiring an employee and the reporting to manager may be incorrect. Group discussed this issue and it was expressed that this change would not cause any problems.
- Null Supervisors. Currently a lot of supervisors in system that are no longer active employees. Unless your supervisor listed is an active supervisor, your file will not be able to be updated. This can cause problems for the employee in regard to performance reviews, reimbursements, etc. Adam discussed with the group the issues that can arise from null supervisors in the system.
- IDM Update. Adam discussed the identity management system. Eventually staff positions will be tied to the accesses needed for those positions (i.e. email accounts, LoboTime access, HR Report access). This will eliminate the need for individuals to have to put in BAR request.
- Employee Separation Updates. Too many people in the system that are separated but still in system. Adam request that IT do a data cleanup of separated employees from the system and that there be another ongoing position within IT to make sure these people are removed continuously. In regard to the separation check list on paper vs electronic, where it lives, getting it updated, group discussed and debated these issues.
- Payroll Adjustment Process. Adam discussed new PDF, processes discussed at previous meetings (more than 2 pay period adjustment needs 2 signatures, etc.). Hoping for roll out with this new process in the beginning of 2019. Is the group ok with a soft roll out? Announce at forums? New process will be more efficient, easier to use for all. Group seemed open to the new forms, but wants it to be a hard roll out. Take away paper forms and have a clear cut date that payroll will no longer accept the paper forms. Payroll stated that they will not only announce at the forums, but also by email and to the time keepers. IN the meantime, per Adam, emailed forms are now to be accepted by payroll, does not have to be dropped off at the window.
- Moving Relocation Allowance Update. Policy revisions sent to policy office. As soon as Adam hears definitive answers, he will update group. This payment should not be on the sunshine portal. Won't materialize there. IRS mandates that this is compensation and needs to be recorded as so. Group discussed where this should go and why.
- Employee Areas: Start looking at the early deadlines for the end of the year. Deadline discussion. Brought up by Patty to let group know that October forums will be the last opportunity to let folks know about end of the year deadlines.
Meeting adjourned at 415pm
