Applicant FAQ
Searching for a Job
Q: Can I search for jobs by department?
A: Yes. Complete a search using the department name. Some department names are abbreviated.
Applying for a Job
Applications
Q: Can I change my application once I have submitted it?
A: No, you cannot change your application once it has been submitted. If the Best Consideration Date has not passed, you can contact the requisition owner to see if they are willing to accept your document via email to manually add it to the UNMJobs system. As a last resort, you can establish a new user account and apply.
Q: Where do I find the status of my application?
A: If you applied through the Career Center (internal applicant), log in and go to the UNMJobs tab, click Career Center, then click the Applications tab. In there, you will find your Application Status page. If you applied through the Career Site (external applicant), log in and click on My Profile on the top right of the screen. The center of the page will load with your Application Status.
Q: Can I reapply to the same position after withdrawing my application?
A: No, once you withdraw your application you will no longer be considered for the position nor can you reapply.
Q: If I have begun filling out an application, can I save it and return to it later?
A: Yes. Click the 'Save/Return Later' button after you have completed all required fields on the page you want to exit from. The application you started will remain in the Career Center under the Applications tab. To resume your progress, click the 'Continue Application' option.
Q: If I have begun filling out an application and I click 'Cancel', what happens?
A: You will be presented with a pop-up window that asks if you want to cancel the application. You have two options - Save/Return Later and Delete Application.
Q: Can my supervisor see if I apply for another position?
A: Even though supervisors can see their employees listed within their Universal Profile and the My Team tabs due to the University's reporting structure, they do not show employee activity in relation to their profile materials or jobs they’ve applied for. However, as with any application system, if you've applied for a job within the organization that your Supervisor has hiring access to, he/she would be able to see you in the applicant pools.
Documents and Attachments
Q: Where can I view the documents (i.e. resume, cover letter, CV) that I submitted with my application?
A: Unfortunately, an application preview is not possible after it has been submitted. Applicants are encouraged to preview their application and attached documents prior to submission via a reminder as the last step in the process. This type of functionality has been submitted as a request to the vendor.
Q: I have uploaded several documents when applying for a job, where are they located and why is only my resume there?
A: Unfortunately, the system does not allow an applicant to review the materials/documents attached after an application has been submitted. The latest resume, however, is stored in the Applicant's profile as long as the resume parsing was used to complete the application. In this case, the resume will remain available as a view-able document.
Q: I submitted my application but forgot to attach a document or I uploaded the wrong one. What do I do?
A: If the Best Consideration has not passed, you can contact the requisition owner to see if he/she is willing to accept your document via email to manually add it to the UNMJobs system. As a last resort, you can establish a new user account and apply.
Q: Are there any limits to file size or type when applying?
A: Accepted file types: DOC, DOCX, PDF, TXT. Max file size: 5MB. There is a 50 character limit for document titles.
