A: Did you use the “$” dollar sign or “,” comma in your proposed salary? You can only use the decimal point in this field.

Q: How do I remove an incumbent that will be separating or retiring in the future, but is still listed on my grid?

Follow-up Q: Do I have to address them even if they are separating?

A: Only if they are not leaving within a few weeks leave them on your report but make a notation. Otherwise, you may remove them but


Tip:  If you are anticipating a separation, make a notation on the grid, and ensure appropriate paperwork and EPAF(s) have been submitted to address the separation or retirement of the incumbent(s).

A: To remove a person who is separating  It is better to make a notation regarding the separation of the incumbent rather than deleting them from the grid. 

However, to delete a person from the grid.

Q: Why is the system generating the incumbent as “Required?”

A: The “Required” status generates when the individual triggering the action has a Dept Request Salary that is higher than an existing incumbent who is paid less and has more total education and experience than the individual triggering the action.To check the reasonless education/experience and a higher requested salary than an existing employee with a higher level of education/experience and a lower salary.  


Q: How do I get more information about an employee’s status in the Adj Needed to Current Salary column?

In this example Cooper, Gary has three reasons why this individual is required to be addressed"Required".

Column A is the affected incumbent and column B is the incumbent/individual that is causing the inequity.

  • Mr. Rubble has less education and experience combined, but Mr. Cooper /experience and is paid a lower more than Mr. RubbleCooper.
  • Ms. Flintstone has the same or more education combined, but Mr. Cooper less education /experience and is paid lower more than MsMr. FlintstoneCooper.
  • Ms. Salt has less education and experience combined but has equal pay /experience and is paid the same as Mr. Cooper.

Q: I don’t see any of my on-call, temporary, faculty, or students on this grid.

A: The Salary Placement and Equity methodology pertains to staff employees only. Additionally, the methodology will The SPET does not apply to temporary or on-call positions or positions in broadband grades such as grades 90, 93, 95, or 99.

Q: Why can’t I add a decimal placement to the experience section? For example, 1.55 or 2.89 years of experience. The only instance you can enter a decimal is for classifications that require 6 months (.5) of experience.

A: To prevent SPET miscalculations, experience needs to be entered as a whole number only. In the example: 1.55 would be rounded down to 1 or 2.89 will be rounded down to 2 years.

Q: How will this methodology How does the SPET account for job-related qualifications that are not related to education or experience, such as certifications/licensures?

A: Qualifications not directly tied to job-related education and experience may be considered by the department when determining an appropriate salary within the calculated range provided by the tool. An out-of-range justification should be submitted if the department identifies the need to pay at a rate higher than the range calculated by the tool to acknowledge the individual’s additional qualifications. An out-of-range justification . Justifications should include all information relevant to the rationale for the request.

Q: Why is my report not calculating correctly? I added the years of experience, however, it does indicate that there should be an adjustment but does not show a "required" notation.

Q: Will the SPET age my data?


A: No Yes, the SPET does not age data. This will need to be done manually. That means if you enter someone’s experience, their experience will not change over time. If it has been a while since calculating an employee’s experience, be sure to verify their level of experience with the Edu and Exp Calc to make sure the data in the SPET is accurateages experience.

NOTE: Aging occurs on the first of every month.


Q: Do I need to run a SPET for on-call

employees?

 

 

 

A: No,

on-call employees do not require a SPET.  You can run a SPET to obtain a salary range, but the tool will not pull in other on-call employees for an equity review

. Be aware of this.  If you run a SPET for one on-call employee, you will need to manually add all other on-call employees.
