Update Supervisors (HR Reports)

If processing a single supervisor update, then you will want to use the EPAF process for the various employment areas, Faculty, Staff, Student, and Resident Physician.

The HR Reports - Update Supervisors, has multiple purposes:

  • Update the supervisor for multiple employees

  • Update the supervisor information when the report has “warning flag” that there is invalid supervisor information

  • This report can be use to update all employee types, Faculty, Staff, Student, and Resident Physicians

To access this report in HR Reports, the user will need the BAR role - HR Reports Viewer for Departments.

Instructions for running the report

  1. Generate the report

  • Select a report type: All Orgs or Specific Orgs.

  • Click Run Report.

Note: The report may take over 3 minutes to generate. For faster results, limit the data by selecting only the necessary orgs.

  1. Update supervisors

The first column indicates any supervisor errors.

Note: The report will automatically pull with the “Supervisor Issue is not empty” filter applied. This will bring up only those who have an invalid supervisor issue. If you want to see ALL staff in your org, you can uncheck this box (Do not click on the X to the right of the Supervisor Issue is not empty box).

To correct these errors:

  • Select the check box(es) for the employees you want to update. You can update multiple employees with a common supervisor at one time. For employees with different supervisors, update them separately (See #3 Below)

  • Click the Search here by posn, ID or name field. A new box will open; enter the supervisor's Banner ID or name.

  • Click on the supervisor to update the record.

  • Once the supervisor is selected, then click Apply to Rows to assign the supervisor.

  • The updated supervisor information will appear in the report body. Validate that the information is correct before proceeding to Step 4.

To update multiple employees' supervisor information, for example, due to temporary changes or pending resignations:

  • Locate the employees to update and select the check box(es) on the left side of the report.

  • Click the Search here by posn, ID or name field. A new box will open; enter the supervisor's Banner ID or name.

  • Click on the supervisor to update the record.

  • Once the supervisor is selected, then click Apply to Rows to assign the supervisor.

  • MAKE SURE TO VALIDATE YOUR CHANGES: The updated supervisor information will appear in the report body. Validate that the information is correct before proceeding to Step 4.

  1. Making Updates to Multiple Records with Different Supervisors

Supervisor 1

  • Select the check box(es) for the employee(s) you want to update.

  • Click the Search here by posn, ID or name field. A new box will open; enter the supervisor's Banner ID or name.

  • Click on the supervisor to update the record.

  • Once the supervisor is selected, then click Apply to Rows to assign the supervisor.

Supervisor 2

  • Uncheck the check box(es) selected for updating Supervisor 1.

  • Select the check box(es) for the employee you want to update for Supervisor 2.

  • Click the Search here by posn, ID or name field. A new box will open; enter the supervisor's Banner ID or name.

  • Click on the supervisor to update the record.

  • Once the supervisor is selected, then click Apply to Rows to assign the supervisor.

Continue updating Supervisor information as needed. Validate the information, then move to Step 4.

  1. Save changes

  • Click Save to update the information in Banner.

Note: This information applies without any approvals or review by the employment area. If the information submitted is in error, then the user will need to submit a new supervisor change.

 

Unable to Update a Record on the Same Day

If a mistake is made when updating a record in the report, the system will not allow another update for that same employee on the same effective date. This restriction also applies if you attempt to update an employee who already has a Banner record with the same effective date as your submission.

Important Note: The report does not allow users to define an effective date. All changes take effect on the date the update is submitted in the report.

Resolution:

Wait until the following day to make any corrections or submit a new update using the updated date.

Alternative Option: Submit a supervisor change EPAF using a future effective date (e.g., the following day).

Common Supervisor-Related Issues and Their Resolutions

  1. No Supervisor Listed

Meaning: No supervisor is currently assigned in Banner.

Resolution: Ensure the appropriate supervisor is entered into the report.

  1. Supervisor Position Terminated in NBAJOBS

Meaning: The supervisor's position number or suffix has changed, often due to a reclassification or other personnel action. This causes the system to no longer recognize their previous assignment.

Resolution: Re-enter the supervisor in the report. This will refresh their information and align it with their current position details in Banner.

  1. No Matching Job Found for the Supervisor in NBAJOBS

Meaning: There is a mismatch between the supervisor’s job details in the system.

Resolution: Re-enter the supervisor in the report. This will refresh their information and align it with their current position details in Banner.
